FORM 990 PART IX, DONE AS YOU GO

Form 990 functional expense tracking, allocated as you spend

Every expense allocated to Program Services, Management & General, or Fundraising the moment it happens. Not reconstructed at 990 time.

No more shoebox reconstruction. No more allocation guesswork. Your 990 Part IX gets built one expense at a time, tagged at the source, by the person who spent the money.

WHY WE BUILT THIS

Because the finance manager asked for it by name.

The conversation that started the app included a very specific request. The finance manager at Children’s Orchestra Society — a Nimble Dragon Studios client working through a months-long IRS audit — asked for a way to tag every expense to its Form 990 category at the moment the receipt was captured, not in April when it was time to file. Program Services, Management & General, or Fundraising, chosen at the source by the person who bought the thing.

A working nonprofit finance manager asking for a feature by name is the loudest possible signal that the feature is needed. If she was asking, every finance manager and treasurer at a small nonprofit was quietly wanting the same thing. Form 990 Part IX is not optional. Getting the split wrong changes the Program Services ratio that regulators, watchdog sites, and major funders use to judge how efficient an organization is.

The pain is compounded because most small nonprofits do not have a dedicated accountant. The finance manager, the treasurer, or the executive director does the year-end split from a stack of receipts and a credit card statement. Guesswork happens. The ratio drifts. The 990 that gets filed is a best-guess version of what really happened, not a clean record of it.

So Form 990 functional expense tracking was built as a first-class feature. Every scanned receipt asks its submitter to pick a category at the source. The Program Services ratio updates live. Joint-cost allocation is handled at the tap. And the export lands on the 990 already sorted into Part IX columns.

One request from one finance manager. But she was speaking for a whole sector.

THREE PROBLEMS WITH 990 ALLOCATION

Wrong category. Unsplit joint costs. Lost context.

Every 990 Part IX comes down to three things: were the categories right, were the joint costs split fairly, and was every dollar tied to what it actually paid for? Most nonprofits solve none of the three until 990 time, then someone spends a week reconstructing what should have been captured all along.

Category guessed at year-end

Most nonprofits categorize expenses when the 990 gets prepared, months after the money was spent. By then the memory is gone, the purpose is forgotten, and the bookkeeper is guessing. Guesses do not survive audits.

Lost context, three months later

Coffee bought in July shows up in October reconciliation. What was it for? Which program? Which grant? Nobody remembers. The bookkeeper picks something reasonable. The audit finds the inconsistencies.

Joint costs left unallocated

Shared expenses like office rent, an ED salary, a phone plan should split across program, management, and fundraising by a documented method. Most nonprofits assign 100% of every joint cost to one bucket and hope. Auditors notice.

EVERYTHING 990 TRACKING NEEDS

Built for how nonprofits actually file Form 990.

Every feature exists because a Children's Orchestra Society bookkeeper, a PTA treasurer, or a small-nonprofit ED asked for it during audit season.

Form 990 auto-categorization

Every scanned receipt tags to Program Services, Management & General, or Fundraising. The app learns your patterns and gets more accurate over time.

Tag at the moment of purchase

The person who bought the coffee tags what it was for right when they snap the photo. Program, grant fund, purpose. Context captured while memory is fresh.

Unlimited users, flat rate

Every staff member, board member, and volunteer captures on their own phone. No per-seat cost. $34.99 flat monthly, unlimited people.

Grant fund tagging

Every receipt has a grant fund dropdown. Restricted funds get tracked separately so you can prove each dollar hit the purpose the funder specified.

Joint cost allocation

Split any expense across categories by percentage or dollar amount. Save allocation methods per vendor or expense type so recurring bills get the same treatment every month. Audit-ready documentation attached automatically.

990-ready reports

Export a complete Part IX report for any fiscal year with one tap. Every functional-expense line is backed by receipts, categories, and allocation methods. Handoff to your CPA takes minutes instead of days.

HOW IT WORKS

From expense to Form 990 Part IX in four steps.

No training deck. If your team can send a text message, they can allocate an expense.

1

Capture the expense

Snap a receipt, import a PDF, or type a manual entry. Bank feeds and card imports work too, whatever your team already uses to spend money.

2

Allocate on the spot

The AI fills vendor, date, and amount. The submitter picks 990 category (Program Services, Management, or Fundraising), grant fund, and program from dropdowns, at the moment they spent the money.

3

Bookkeeper approves

The bookkeeper or treasurer reviews the queue on their iPad. Approve, reject, or reassign categories in seconds. Joint cost splits get applied automatically.

4

Export for 990

Export a 990 Part IX report or push to QuickBooks, Aplos, or Xero. Each functional expense line has receipts and allocation methods attached for the CPA.

990 TRACKING TOOLS COMPARED

How Giving Toolbox compares to manual tracking.

Most small nonprofits track functional expense manually: spreadsheets, sticky notes, and someone's memory. Here is what changes when the tracking moves into an app built for the job.

FREQUENTLY ASKED

Straight answers about Form 990 functional expense tracking.

What nonprofit finance leaders ask before choosing a Form 990 tracker.

What does Form 990 functional expense mean?

Form 990 Part IX asks nonprofits to split every expense into three categories: Program Services (the direct mission work), Management & General (overhead), and Fundraising. The IRS uses the ratio to judge how efficiently a nonprofit spends donor dollars.

What allocation methods does Giving Toolbox support?

Time studies, square footage, headcount, and revenue-based splits, plus custom percentages. Save an allocation method to a vendor or expense type and it runs automatically on future entries. The documentation stays with each transaction for the auditor.

Can volunteers submit receipts without their own paid account?

Yes. The $34.99 monthly subscription is per organization, not per person. Every volunteer, board member, and staff member uses the app on their own phone at no additional cost. The person who holds the receipt should be the one who tags it.

How do I document joint cost allocations for the audit?

Every allocation stores its method (time study, square footage, headcount, revenue percentage, or custom split), the calculation, and any supporting documents. Auditors get a clear trail from the expense to the 990 line, without hand-assembly at year-end.

Can one receipt be split across multiple grant funds?

Yes. A single receipt can be split across multiple grants, programs, or funds. The app tracks the amount and the purpose for each split so restricted-fund reporting stays accurate.

Can I export to QuickBooks Online, Aplos, or Xero?

Yes to all three, plus a PDF audit pack that includes every receipt image and its categorization. From the Admin dashboard, choose a date range and destination, and the app produces a clean import file.

Is Giving Toolbox available on Android?

The app is currently iOS-native, iPhone and iPad, iOS 17 and above. Android is on the roadmap but not yet available.
